When the CRM doesn't fit how you actually work.
You pay for a CRM. Half the team uses it, the other half keeps a spreadsheet, and the fields never quite match your process. Reports come out wrong, so nobody trusts them.
How you know it's time.
- Your process has steps the CRM can't model.
- Reps keep side spreadsheets because the CRM is slow or awkward.
- The CRM doesn't connect to quoting, billing or your operations system.
- Management reports need manual cleanup every week.
It isn't anyone's fault.
Big CRMs are built for the average sales team. If you sell projects, manage renewals, run referrals or serve accounts through a long lifecycle, the average doesn't fit, and customizing a big platform can cost more than building what you need.
What the work looks like.

1
Decide: fix, extend or build
Often the answer is to keep your CRM and build the missing pieces around it. Sometimes a focused custom CRM is simpler and cheaper. We tell you which.
-
2
Model your real process
Stages, roles and fields that match how you win and keep customers, not a template.
-
3
Connect the money
Quotes, contracts, invoices and delivery connected to the account, so one record tells the whole story.
-
4
Make follow-up automatic
Reminders, drafts and renewals happen on time, with a person deciding what gets sent.
Common questions.
Should we really replace Salesforce or HubSpot?
Usually not. Most teams do better keeping their CRM and adding custom tools around it. We build a standalone CRM only when the process really doesn't fit.
Can we move our data over?
Yes. Moving accounts, contacts and history is part of the plan, and the old system stays available until you're confident.
Does this sound like your team?
Tell us what's going on. A few sentences is plenty.
